Quick Answer
Check five things before hiring: proven experience with commercial projects in Oman, whether trades are in-house or subcontracted, how they handle Muscat Municipality and Civil Defence approvals, whether the quotation is itemised rather than a lump sum, and what their warranty and snagging process actually covers. A company that hesitates on any of these is worth a second look.

What Does an Office Fit Out Company Actually Do?
Definition: An office fit out company designs, procures materials for, and constructs a commercial interior on a client’s behalf — typically managing partitions, ceilings, flooring, electrical, and joinery as a single, accountable contractor rather than a collection of separate trades.
That word “accountable” matters more than most people realise when they start comparing quotes. Two companies can offer the same services on paper — the real difference shows up when something goes wrong, and you find out whether there’s one number to call or five.
What to Check Before You Hire
These six checks take an afternoon of research and calls. Skipping them can cost you weeks of delay later, so treat this as non-negotiable homework, not a nice-to-have.
1. Proven Commercial Experience, Not Just Residential
Ask to see completed office projects specifically, not villa renovations with an office photo mixed in. Commercial fit-out involves different MEP loads, different approval processes, and different durability requirements than residential work — experience in one doesn’t automatically transfer to the other.
2. Whether Trades Are In-House or Subcontracted
3. How They Handle Municipality & Civil Defence Approvals
Ask who submits drawings to Muscat Municipality and Civil Defence, and whether that’s included in the quoted price or billed separately later. We’ve covered this process in more depth in our office fit out process guide — a contractor who treats approvals as an afterthought usually treats your schedule the same way.
4. An Itemised Quotation, Not a Lump Sum
A single total number tells you nothing about where your money is going or what happens if you want to change one line item. Ask for a breakdown by category — partitions, ceiling, flooring, MEP, joinery — the same way we’ve explained in our office fit out cost guide.
5. A Clear Warranty & Snagging Process
Ask what happens if something needs fixing three months after you move in. A defined defects liability period, in writing, tells you the company stands behind its work after the invoice is paid — not just before.
In-House Team vs Subcontracted Trades
Both models can deliver good work. The difference shows up in accountability and communication, which is worth understanding before you assume they’re interchangeable.
In-House Team
- One point of contact for design, build, and after-handover issues
- Faster response on snagging since the same team built it
- Usually a tighter, more predictable schedule
Subcontracted Trades
- Can sometimes offer more specialised expertise per trade
- Accountability can get diluted when something goes wrong
- Scheduling depends on coordinating multiple separate companies
See How We Score Against This Checklist
Ask us the same six questions you’d ask anyone else. We’d rather earn the project by answering them well than by being the loudest bidder.
Red Flags to Watch For When Comparing Quotes
None of these mean a company is dishonest, but each one is worth a direct follow-up question before you sign.
Warning
A quote that's dramatically lower than every other bid usually means something is missing from the scope, not that you've found a bargain. Ask exactly what's excluded before you get excited about the number.
- No physical office or showroom you can actually visit
- Reluctance to provide references from completed commercial projects
- Pressure to sign quickly before you've compared other quotes
- Vague answers about who handles Municipality and Civil Defence approvals
- No mention of a warranty or defects liability period unless you ask first
Questions We Hear During Site Visits
These come up on nearly every free site visit we do, usually in the first ten minutes. If you’re evaluating a company, these are worth asking whoever walks your space too.
“Can our office remain operational during the fit out?”
Usually yes for renovation-style work if we phase noisy trades outside business hours. A full fit out on a bare shell has no office to keep running yet, so this mainly applies to occupied spaces.
“How early should we order custom furniture?”
As soon as the design is signed off, not once construction starts. Custom joinery has a production lead time that runs parallel to the build — ordering late is one of the most common causes of a delayed move-in.
“Can work be done outside office hours?”
Often yes for noisy or disruptive trades, though it usually costs more due to overtime labour. Worth discussing at the site survey stage if staying operational matters more to you than the budget.
“What approvals are usually needed before starting?”
Muscat Municipality drawing approval and Civil Defence fire safety sign-off, in most cases. Whether you need both depends on the scope — we confirm this during the same site visit.
“How do you minimise disruption to our employees?”
Sequencing dusty and noisy trades away from occupied areas, sealing off active work zones, and scheduling around your team’s core hours where possible. This gets planned at the survey stage, not improvised on site.
Expert Tip
Bring the same brief to every contractor you're comparing — same headcount, same move-in date, same must-haves. Quotes that look wildly different usually mean each company assumed a different scope, not that one is simply cheaper.

Frequently Asked Questions
What should I look for in an office fit out company?
Ask for evidence of completed commercial office projects, confirm whether trades are in-house or subcontracted, check how they handle Municipality and Civil Defence approvals, and request an itemised quotation rather than a single total figure. A company that answers these clearly is usually the safer choice.
Is the cheapest quote always the best value?
Not necessarily. A significantly lower quote often means part of the scope has been left out — approvals, snagging, or specific finishes — rather than genuine savings. Compare quotes line by line, not just the bottom number.
Should I ask to see a company's past projects?
Yes, and it’s one of the more useful questions to ask. Photos, addresses, or client references for completed office projects tell you far more than a generic capability statement.
What should be included in a fit out contract?
A written scope of work, an itemised quotation, defined payment milestones, and a stated defects liability period after handover. Verbal agreements on any of these tend to become disputes later.
Should I hire a separate designer and contractor, or one turnkey company?
Both can work well. A single turnkey contractor gives you one point of accountability from design through handover; a separate designer and builder can offer more design flexibility but shifts coordination onto you.
Should a fit out company visit my site before quoting?
A free site visit is standard practice among established contractors in Oman, since accurate pricing depends on seeing the actual space and its MEP condition. Be cautious of a company willing to quote firmly without ever visiting.
How do I know if a contractor really has an in-house team?
Ask directly whether they employ their own team or subcontract per project, and ask to speak to the actual site supervisor who would run your job — not just the salesperson.
